The club workflow

Build the pattern

Set the open days, SLT hours, set lengths, roles, and manager coverage. Use advanced blocks when your programme needs something more specific.

Fill the roster

Search by HostArtists name or Second Life legacy name and assign one occurrence, or make a recurring permanent assignment.

Release the dates

Prepare a draft, review open positions and changes, then release a weekly, biweekly, monthly, or custom period.

Choose the booking rule

The club decides what “open” means.

The same schedule can support a curated roster, direct claiming, or a request queue for staff approval.

01 · Club managed

Only authorised club staff assign people. Open positions are visible to management, not self-bookable.

02 · Self booking

Eligible DJs, Hosts, Live Singers, and Managers can claim a released position. Rules, capacity, deadlines, and conflicts are checked first.

03 · Reservation with approval

An eligible artist reserves a released position as pending. A Club Owner or Schedule Manager approves or denies it.

Built for real nights

Permanent slots are not promises that ignore reality.

Keep a weekly or biweekly resident assignment, call out one dated edition when needed, and put a replacement in that slot without changing the future pattern.

Work together
Appoint multiple Schedule Managers and grant the permissions each person needs. A global Manager role does not automatically unlock your club.

Connect the places people already use

Take your schedule beyond HostArtists.

Keep HostArtists as the source of truth, then publish the programme to calendars, websites, Discord, automation tools, and the artist platforms your community already uses.

Public calendar subscriptions

Every public artist profile and club page includes a webcal subscription, an .ics download, and a copyable feed URL for Apple Calendar, Google Calendar, Outlook, or another iCalendar app.

Google Calendar and Outlook sync

Artists can connect a primary Google or Outlook calendar for two-way exchange of upcoming HostArtists bookings and outside commitments. Imported events stay private by default.

Audio and community links

Add public links for Discord, Mixcloud, SoundCloud, Spotify, Apple Music, Bandcamp, Twitch, Kick, YouTube, TikTok, and other channels to an artist or club profile.

Music profiles in one place

Link Spotify, Apple Music, Bandcamp, Audiomack, Mixcloud, and SoundCloud profiles so visitors can follow the artist beyond one appearance.

Featured audio on artist profiles

Artists can feature public Mixcloud shows and SoundCloud tracks, sets, or songs. HostArtists embeds the official player under one neutral Audio section.

Zapier, Make, and n8n webhooks

Create a signed HTTPS endpoint and react to calendar, profile, schedule, booking, post, and live-signal events in your own automations.

Keep the Second Life night on air.
